Admissions, fees and parent communication for schools

One place for applications, places, fees and parent contact, with the consent handling that children’s data requires rather than the kind that gets noticed in an audit.

What usually goes wrong

Term starts whether the system is ready or not.

Admissions, fees and parent communication all peak in the same fortnight, and each one currently runs on a different spreadsheet. These are the four we are called in to fix.

Admissions run on forms and phone calls

Applications arrive on paper, by email and on WhatsApp, and nobody can say how many places are actually left.

Fee balances nobody can confirm

Parents pay by M-Pesa, the bursar reconciles by hand, and the arrears list is out of date the day it is printed.

Children’s data with no consent record

Names, ages, photographs and medical notes collected without a written basis or a retention rule. Children’s data is where the Data Protection Act is least forgiving.

Parents told the same thing three ways

A notice goes out by SMS, by letter and on a WhatsApp group, and a third of parents still receive none of them.

What we build for this sector

One place for the things that all happen in January.

Admissions

Applications, offers and acceptances, with the number of remaining places correct at every moment.

Fee portals

M-Pesa collection, per-student ledgers, receipts issued automatically and arrears visible without a spreadsheet.

Parent communication

One message, sent once, delivered by the channel each parent actually reads.

Consent and retention

A written basis for every field collected about a child, with deletion applied on schedule rather than promised.

Reporting

The returns the ministry and the board ask for, generated from live data rather than compiled by hand.

Accessibility

Usable by a parent on a low-end phone, which describes most of them.
